Presentation Time, Formats & Guidelines

  • You can check your presentation time on this schedule.
  • You will receive a formal calendar invitation, including the zoom link for your session, via email. ​ ​​
Formats & Guidelines
Please follow these steps to prepare for the conference.

ASAP (if you haven’t already done so):
  1. Confirm your interest in presenting on this form (each presenter in a panel must complete the form). You will need your presentation number listed in your acceptance email message.
  2. Register for the conference (free and ongoing).
  3. Update to the latest version of Zoom. You’ll need to be logged in to Zoom to access all Conference events. 

As you plan your presentation:
Keep in mind that length and format vary by presentation type; see the chart below for details. If you are unsure what type of presentation you are giving, see the acceptance email you received from Program Committee Chair Margi Wald in early January or email info@ucwriting.org. If your presentation type has multiple time slots listed, please refer to the Full Conference Schedule for the exact time of your presentation.

  • ​Attendees can unmute for the Q&A or ask questions via chat.
  • All slides should be combined on one slide deck.
  • There is a room host for technical support, but panelists will be in charge of introducing presenters and moderating the chat and Q&A.
Effective practices discussions

10:15-11:15am
  • Fully interactive discussions led by moderators
  • Attendees can unmute, screen-share, and ask questions via chat throughout the discussion.
Individual presentations

Poster Q&A

  • Each poster presenter hosts a breakout room in a single Zoom meeting.
  • Attendees enter / leave breakout rooms at their own discretion.
  • Breakout rooms offer fully interactive discussions led by poster presenters: attendees can unmute or ask questions via chat.
Brief presentations

3:45-5:00pm
  • Part of a set of three 20-minute presentations/talks with a five-minute changeover "break" between each
  • 20-minute slots are inclusive of both the presentation and the audience Q&A after each presentation.
  • Brief presentations should be no longer than 15 minutes to allow for at least a 5-minute Q&A session. 
  • Attendees can unmute for Q&A or ask questions via chat.
  • There is a timekeeper and a room host for technical support, but each presenter will be in charge of monitoring the chat and moderating the Q&A for their 20-minute time slot.
Lightning talks

3:45-5:00pm
  • Part of a set of three 20-minute presentations/talks with a five-minute changeover "break" between each
  • 20-minute slots are inclusive of both the presentation and the audience Q&A after each presentation.
  • Lightning talks should be no longer than 10 minutes, to allow for at least 10 minutes of audience input and discussion. (See sample lightning talks-- you have a bit more time than these presenters did.)
  • Attendees can unmute for Q&A or ask questions via chat.
  • There is a timekeeper and a room host for technical support, but each presenter will be in charge of monitoring the chat and moderating the Q&A for their 20-minute time slot.

Panelists, Individual Presenter, and Workshop Leaders
​To assist our Events Services team, please submit your presentation slides or other visuals using the link / file upload submission form below.
  • We strongly encourage the use of shared platforms (such as Google Slides); that way, any last-minute changes by presenters will also be viewable by our captioners.
  • We also ask that the individual members of panel presentations combine their files into a single document to facilitate captioning and to streamline the transition between panelists on the day of the conference.
In addition to the AV you want to screen-share during your talk, you are welcome to share links to files/sites/documents in the chat box. 
 
If you are not using a shared platform, please use the following naming convention for your files:
  • Template: UCWPC21_Presentationnumber_First-four-or-five-words-of-presentation-title
  • Example: UCWPC21_55_Solve-Problems-Improve-Outcomes

Test Runs: ​Thurs 28th & Fri 29th, at most times of day
Join Berkeley’s Event Services team for a 15-minute test run. Event Services will offer tips to maximize your presentation, test your A/V equipment, and answer any questions or concerns you may have.

Separate tabs for Th & Fri are at the bottom of each sheet. 
The conference team will also email all confirmed  presenters a reminder to schedule a test run. Test runs will take place via Zoom.

Friday & Saturday January 29–30
At the start of your designated presentation or event time, simply click on the Zoom calendar invite that Event Services has shared with you. An Event Services team member will be in the Zoom meeting room to assist you with any technical issues that arise during your presentation.
